Position Overview

The Administrative Specialist will serve as the primary receptionist for the office as well as serve in a number of areas in support of the faculty. Responsibilities include but are not limited to: processing faculty reimbursements, travel and summer fellowships; assisting with adjunct and faculty contracts (FLAC); maintaining office supplies; assisting with scheduling (conference rooms, calendars, etc.); reconciling recorded expenses paid to budgets; and creating and sending annual salary letters and materials related to promotion and tenure.  The Administrative Specialist will provide assistance to the Executive Assistant and Academic Affairs Operations Manager and other VPAA office staff as needed on a daily basis.


Required Knowledge, Skills and Experience

  • Four years minimum experience in an academic environment.
  • Excellent interpersonal skills with a strong work ethic.
  • Discretion and the ability to appropriately handle sensitive, confidential information.
  • Respond quickly and accurately to a wide variety of inquiries and requests, both internal and external.
  • Attention to detail.
  • Ability to multitask and prioritize work with competing deadlines.
  • Efficient preparation and distribution of correspondence.
  • Excellent written and verbal communication skills.
  • Works well with others and independently.
  • Expert knowledge of MS Office Suite/ Strong familiarity with the Google Suite.
  • Ability to quickly learn other software packages.
  • The successful candidate for this position will be subject to a pre-employment background check.

Preferred Knowledge, Skills and Experience

  • Familiar with 25Live
  • Experience working in databases
  • Interest and ability to learn new tasks
  • Experience with budget monitoring and Banner a plus.
